Gabriel Collaboration Suite: Online Manual

1.Download & Installation

This section will show you how to download and install the Gabriel Collaboration Suite on Windows, Mac OS X, Android and iOS.

1.1.Windows

  1. Go to www.gabrielsecure.com and click “Download” at the top of the homepage. 
  2. Click “Windows.” This will direct you to the Windows download page. 
  3. Click the button labeled “Download Gabriel Windows®” Then run the installer and follow the prompt to install Gabriel.
  4. Follow the instructions to sign in or create an account.

1.2.Mac OS X

  1. Go to www.gabrielsecure.com and click “Download” at the top of the homepage.
  2. Click “Download Mac OS X” and a file name “Gabriel.dmg” will automatically download to your default downloads folder.
  3. Open Gabriel.dmg and follow the instructions on the pop-up window, which will prompt you to drag the Gabriel folder to the Applications folder.
  4. Navigate to the Applications folder and open Gabriel by double clicking on the Gabriel shield icon.
  5. Follow the instructions to sign in or create a new account.

1.3.Android

  1. Download the Gabriel Collaboration Suite from the Google Play Store.
  2. Once Gabriel has downloaded, open the application and follow the instructions to sign in or create an account.

1.4.iOS

  1. Download the Gabriel Collaboration Suite from the AppStore.
  2. Once Gabriel has downloaded, open the application and follow the instructions to sign in or create an account.

2.Welcome to the Gabriel Collaboration Suite!

  • Once you have installed Gabriel Collaboration Suite to your phone from the Apple Store or Google Play, Gabriel will open to the New User / Existing User screen. (Fig. 1.1)
  • If you already have an account you should click EXISTING USER and enter your username and password as well as creating a device name to identify this login.
  • If you do not have an account click on NEW USER and the NEW GABRIEL ACCOUNT screen will appear. (Fig 1.2)

3.Creating Your Account

  • Here you will choose your screen name, if it is available you will see a green check and the word Available in Green. If the user name is unavailable it will show this in Red (unavailable)
  • You will now need to enter your first and last name, email address, create a password, name the device, as well as view and click the “I Accept License”.
  • You will then be shown an account creation success page. (see fig. 2.1)

4.Verify Your Email Address

  • Once you click OKAY you will be sent an email to the address you used to create the account. If you gave the wrong email address and you want that user name (if still available) you must contact Gabriel Support to delete your account so you may re-register. You can send us an email to gabriel@myvirnetx.comand we will create a support ticket for you. (Fig. 3.1)
  • Once you verify your email address you will be brought to the home screen of Gabriel. (Fig. 3.2)
     

5.Changing Your Profile Picture

  • On the top of the screen next to “available” is a picture of a silhouette. If you click on the sollhouette image you will be able to change it to a picture of yourself or anything of your choosing. (Fig. 3.2)
  • If you click on “picture” (green icon) you will be able to navigate on your PC to select and resize an image to your liking. Be sure to save your image when you’re done.

7.Settings

Under SETTINGS you will see 4 options to choose from (Fig 5.1):

  • User Preferences
  • Manage Devices
  • Security & Privacy
  • About Gabriel.

7.1.User Preferences

Click on User Preferences (Fig.5.1) and you will find four options to be able to customize Gabriel to your liking (Fig. 5.2). These options are:

NOTIFICATIONS OPTIONS

  • Enable or disable notifications for new secure messages and new secure mail.

 

CONVERSATION HISTORY

  • Save conversations, auto delete messages, and erase all history.

INTERFACE OPTIONS

  • Display / Font size, Enter key commands, Interface modes, and colors & themes

 

EDIT ACCOUNT DETAILS

  • The Accounts Details link will take you to the https://www.myvirnetx.com website where you can change your password, manage devices, and see account status.

7.2.Manage Devices

By clicking on “Manage Devices” you will be able to choose which device you want to act as your own personal server. It is highly recommended that you select a computer that is always on and has an internet connection. The blue asterisk designates your server choice.To add a new device, simply follow the download instructions in the manual section titled “Download and Installation” manual.

7.3.Security & Privacy

  • Under the Security and Privacy button you will be able to designate who can find you when searching the directory.

SECURITY POLICIES

  • Security policies allow you to fine tune access to your secure applications. These policies apply to all of your devices activated on your account.

 

SECURE GATEWAY

  • Secure gateway services allow you Gabriel-enabled third-party software running on this device or on your Local Area Network (LAN) through secure port forwarding. By clicking on the “New Client Proxy” button you can add your client proxy information.

7.4.About Gabriel

About Gabriel will give you the software version you are currently using as well as Copyright information and Patent info. (see image below)

8.How To Add Friends

  • Adding friends on Gabriel is very simple. On your home page, under “My Friends” you can click on either the three dots on the right hand side of the screen or you can simply click “Manage Friends”
  • Inside the Manage Friends window you can see you current friends list at the bottom of the page. At the top of the page you are able to search for new friends to connect with by entering either a name, phone number, email address or secure domain name. If your friends are not currently using Gabriel you can send them an invite. Or if they are already using Gabriel you can simply click on their profile from the search results and begin communicating SECURELY!
  • Your friend’s list will automatically include support feedback. If you have any questions feel free to ask the Gabriel Support team for live assistance. Gabriel support is available Monday through Friday from 09:00 ET through 20:00 ET. Feel free to ask questions on the off hours as the Gabriel Support team monitors the chat off hours but response during the off hours.

9.How to Chat with Friends

  • On the top of your home screen you will see four different tabs. From left to right the tabs are: Secure Chat, Secure Mail, File Sharing, and Secure Gateway services.
  • By clicking on the Secure Chat icon you will be brought into Chat. Your Chat home screen will show all of your current friends. By simply clicking on a friend you will be able to chat securely and seamlessly across all of your devices. You can also create a Group Chat here by clicking the “Create Group Chat” button. (see Group Chat section below)
  • Once you choose a conversation with a friend, you will notice a few options on the top of the chat home screen (just below the blue icons). Need to make a secure voice call to a friend? Go ahead and tap the phone icon! Need to send an attachment? Go ahead and tap the paperclip icon!
     
  • By selecting the three dots on the far upper right of the chat screen, you will bring up the “conversation options” window. This is a dashboard for you to be able to personalize your chat.
  • The “conversation options” window is a great option to be able to switch between functions on the Gabriel suite with each friend on an individual level. Simply click on any of the blue icons to do this.
  • By clicking the “Silence Notifications” button you are essentially hitting the mute button on your chat session. In order to unmute the conversation, just click on the red bell icon on your chat screen.
     
  • Under “More Options” you will find five more options to choose from: Show Devices, Assign Alias, Clear History, Delete Friend, and Debug Actions.
  • Show Devices – clicking on this button will show you what devices your friend has and is using.
  • Assign Alias – Want to give your boss a funny nickname? Yep, this is the place. Don’t worry; unless you send them a screen shot, they cannot see the name you give them.
  • Clear History – Want to erase all your chat history with this particular friend? Go ahead and follow the prompts.
  • Delete Friend – Did your employee give you a funny alias? You can delete them from your friends list here…
  • Debug Actions – Send log files and send VPN Details through this tab.

10.Group Chat

  • Once you select the group chat option from the manage friends home screen, you are asked to name the group. Once you name the chat group, go ahead and click next.
  • You will then be given the option to add any of your friends to the group that you desire. Simply click on the “Add” button to the right of each friend you want to add.
     
  • When you are finished choosing friends, go ahead and close the window by clicking the X in the top right corner.
  • From the “Manage Friends” pop up window you will now be able to select your new group.
  • After selecting the group you will be able to choose to either send a message on chat, or send a secure mail. You can also rename the group from here or add new friends to the group.

11.Secure Mail

  • From your home screen, select the secure mail tab at the top of your screen.
  • From there you will be brought to the Secure Mail home page.
  • To begin creating a new Secure mail, simply click on “Compose”
  • From here you will be able to create your mail draft and send it securely to any of your friends.
  • There are a number of options from the draft page, lets walk through them together. In order to choose a friend to send your Secure Mail to, simply begin typing the designated recipients name in the “TO:” field, and select the name from the options shown below.
  • You can also click on the friends tab and select a friend to add as a recipient.
  • After clicking on the tab, you can select a friend from the drop down list.
  • The same rules apply for adding a carbon copy (CC) to your Secure Mail. You can both begin typing a name and choose an option from the drop down menu, or you can select the friend tab and choose from there.
  • Once you enter your subject into the subject field, you have the option of determining this Secure mail as “High Priority”. To accomplish this, simply click on the fire icon shown below.
  • When you are ready to begin typing your Secure Mail, simply click in the message field below and begin typing.
  • Do you have attachments you need to send? Great! Go ahead and click on “ATTACH” and from your computer select a file to attach. Once you have selected a file, click “OPEN” and presto! Your file is now attached and ready to be sent via Secure Mail.
  • Another great option is that after you select the “ATTACH” button, if you hit “CANCEL” instead of opening a file from your computer, you will now see the “+ATTACH” field and you can now drag and drop files directly into this field.
  • In the middle of typing the worlds greatest Secure Mail and need to run? NO PROBLEM! Go ahead and hit the “SAVE” option and your piece of mail will be waiting for you under “DRAFTS” until you return.
  • All finished with your Secure mail and ready to send it? Simply click on the “SEND” option and away it goes!
  • But wait! What if your Secure Mail is not what you expected it to be? Go ahead and click on the “Trash” icon and kiss that draft goodbye.

 

11.1.Font Options

  • ***Font options are not available on mobile platforms***
  • Want to add a little flair to your Secure Mail? Bold, Italic and Underline options are located here…
  • Left Align, Center Align, Right Align and Justify Align options are located here…
  • Insert Ordered List and Insert Unordered List options are located here…
  • If you want to change your Font Size, click on the arrow and choose an option from the drop down window.
  • Want to change the font style? Simply click on the drop down window for “Font Family” and choose your selection.
  • You can add and remove indents from these two tabs here…
  • You can also further customize your Secure Mail by changing the text color here…
  • You can also change the back ground color here…
  • By clicking on the back arrow, you will be able to navigate back to the Secure Mail home page.
  • From your Secure Mail home page you can choose between mail folders here…
  • Clicking on the Folder button brings you to the “Choose Folder” pop up window where you can navigate through your Secure Mail folders. Simply select a folder or highlight the desired folder and click on “Okay”

11.2.Secure Mail Options

  • To access your Secure Mail options window, go ahead and click on the three dots shown here…
  • Once you click on the three dots you will see the Secure Mail Options window. In this window you have three options to choose from. Popout into New Window, Change Mail Server and Export Mail As Text. ***Popout option not available on mobile platform***
  • By selecting the “Popout Into New Window” option, you will pop Secure Mail out into a new window.
  • Once you select this option, if you maximize the popout window you will see a different layout for Secure Mail.
  • Want to pop this window back into Gabriel? Simply click on the “Pop-in” button shown here…
  • You can also change your Secure Mail server from the Secure Mail Options window. You always want to make certain that you select a platform that will always be on. **MOBILE DEVICES CANNOT BE USED AS SECURE MAIL SERVERS**
  • Need to Export your mail as text? Great! We have an option for that…
  • Once you click on the “Export Mail As Text” button, you will have the option of either just going ahead with the download, or you can designate which file to download it to by selecting “Show In Folder”.
  • Need to search through your Secure Mail for a keyword or phrase? Click here…
  • Once the “Search” button has been selected, you can type in your search here…
  • You can also Filter your folders by clicking on this button…
  • Need to sort your selected folder? Go ahead and click on the Sort button…
  • Once you click on “Sort”, you will have a number of different sorting options to choose from!

 

12.Secure Share

Home Page

Pop-out / pop-in
Click the pop-out button to open the Secure Share app in its own window
Click the pop-in button on the new Secure Share window to pop it back into the main window.
If the new window gets lost behind your other apps, you can click “Bring to Front” in the main window.

My Files
“My Files” shows shared folders and files on all of my devices (not including mobile devices).

Default server
If this is your only device it automatically be your default device. If you have multiple devices, this is the device you’ve chosen as your mail server (see 7.2 for choosing your mail server).

Local Files
These are the files on your current device.

Online Devices
This will show any other devices you have that are currently online.

Clicking on a device name will take you to the device’s shared folders. Open folders and files by clicking on them.

Clicking on picture files will open a preview of the picture and give you the option to “Save & Open” or “Close Picture.”

*Clicking on other file types like .txt, .pdf, .xlsx will automatically begin downloading.

Friend Files
From the Secure Share home page select “Friend Files” and then click one of your friends to display the files they share with you.

Uploading Files
1. To upload files, navigate to the folder you want to upload a file to, then click “Upload”

2. Drag and drop a file into the gray area that says “Drag & Drop Here” or click “Choose File” and browse for your file that way.

Note: Uploading files to your friend’s device will notify then with a Secure Message

Folder Actions
To access the Folder Actions window, simply select the Actions tab from the file folders window.

Once you have selected the Actions tab, you will be able to choose from different options.

Folder Links
To share a folder with a friend you can copy the link found in the “Folder Links” section.

Subscribe/Unsubscribe

  • Click “Subscribe” to be alerted when a file has been added or changed inside a folder you are subscribing to.
  • Click “unsubscribe” to cancel alerts.

Sharing Options

  • Share Name -This is the name your friends will see. Create or change the name here.
  • Read Access – Manage who has read access to the share folder here. To add readers click “Add Readers.” To remove readers click the “X” next to their name.
  • Write Access – Manage who has write access to the share folder here. To add writers click “Add Writers.” To grant write access to the same friends who have read access click “Copy From Readers.” To remove writers click the “X” next to their name.
  • Options
    • Allow Incoming Backups – this allows friends with write access to backup their files to this folder.
    • Allow Subscribers – This allows readers to monitor the folder for changes. Subscribers will be notified via Secure Mail.
    • Modify Subscribers – Add and remove subscribers

Backup Folder
To create a new backup, click “New Backup” and select the device you want to backup your folder to.



After you’ve selected your device you’ll be asked to verify the devices and folders are correct for both the source and the target of the backup. If it is correct click “Yes. Start Now!”

Additional Options – Found by clicking “Options” in the Secure Sync window.

  • Exclude Certain Files – Here you can choose to have your backup ignore certain file types (For example ‘pdf’ or ‘exe’) or files that start with or contain certain words. By default, backups will ignore files that start with a period (i.e. “.htaccess”).
  • Trigger a Full Resync – In rare cases, you may want to force a full resync. This action takes more time since each file being synced is compared with the destination version.

Move Folder
Choose a new destination for your folder.

Stop Sharing
Here you can disable sharing, unshare folder and keep files or delete all folders and files.

File Actions


Aside from “Folder Actions” you will also be able to designate certain file actions for the actual files inside your folders.

  • Send To Friend – select a friend from the list to send a file to.

  • File Links
    • Link to File – you can copy & paste the file link into a message or email to a friend.
    • File Location – This is the location of your file on your device.

  • Rename File – Create a new name for your file here.

  • Move File – Choose a new destination for your file here.

  • Delete File – Delete your file permanently here.
